From Proof of Concept to a usable SaaS solution
AI in Companies: Between Productivity Promise and Implementation Gap
Artificial intelligence is now one of the most important fields of technology. Companies are investing in AI, experimenting with generative models, and expecting leaps in efficiency in knowledge work, software development, customer service, and process optimization. At the same time, many organizations show a clear gap between technological potential and measurable business value. The Stanford AI Index 2025 reports that 78% of surveyed companies are already using AI, and 71% are using generative AI in at least one business function. (Stanford AI Index 2025)
However, the financial effects often remain moderate. Many companies report cost savings of less than 10% and revenue increases of less than 5% in the respective functions. A McKinsey analysis paints a similar picture: nearly all companies are investing in AI, but only a very small portion see themselves as mature enough to fully integrate AI into workflows and achieve substantial business results. (McKinsey: Superagency in the Workplace)
These figures show that AI alone simply does not yet bring clear competitive advantages. Efficiency does not arise because a company introduces a tool, but because the overlying processes are rethought. For real added value, users must be properly empowered and software solutions must be aligned with real workflows. Especially in process consulting, it is not pure AI availability that determines success, but the ability to quickly turn an idea into a usable product, gather feedback, and prove the actual added value in everyday life. (McKinsey: Where AI Will Create Value and Where It Won’t)
To show how a process idea can be turned into a usable SaaS tool, we have created an exciting product together with other companies: The Pocket Consultant. This is a concrete tool for consultants, managing directors, and executives who want to understand, visualize, question, and improve processes faster.
Pocket Consultant: A Practical Counterexample
The Pocket Consultant was born out of a simple observation, namely that analyzing and optimizing processes is often time-consuming, complex, and heavily dependent on experience in practice. Many teams still work with PowerPoint, spreadsheets, or heavyweight BPMN tools. For fast workshops, early hypotheses, and creative optimization ideas, these approaches are often too slow or too bulky.

The Pocket Consultant is a lean, AI-powered tool for modeling, visualizing, and optimizing business processes. This solution makes workflows intuitive and visible click by click, uses context information directly in the process, generates suggestions for improvement, and answers questions about complex relationships. Process diagrams can be created from meeting notes or continuous text, and existing processes can be further developed and optimized with a single click.
From Idea to SaaS Tool
The development was deliberately iterative. An initial idea first became an exploratory Proof of Concept. Together with the Ruhr University Bochum and students, the topic was examined from both a professional and technical perspective.
What problems do consultants face in everyday process work?
How must processes be described so that AI can interpret them in a meaningful way?
What interaction is intuitive enough not to slow down workshops but to generate speed?
Rapid Prototyping, Customer Feedback, and AI-Enhanced Coding
The exploration was followed by implementation with rapid prototyping, short feedback cycles, and a consistent focus on UX. Especially with AI tools, good user guidance is crucial. A tool can be technically strong, but if it is not quickly understood in the workshop, no added value is created. Therefore, the Pocket Consultant thrives on an intuitive interface, clear process blocks, and an interaction that meaningfully combines expertise and AI.
Features / Benefits of the Tool
Generate process diagrams from text, meeting notes, or workshop results
Ask questions about processes and develop improvement ideas
Enrich processes with contextual information and make them easier to understand
Think of optimizations across process boundaries
Onboard juniors faster and make expert knowledge more accessible
Why Process Knowledge is Worth Its Weight in Gold
Processes are not just flowchart diagrams; they combine experiential knowledge, decision logic, customer understanding, and operational reality. Anyone who understands processes well can easily identify automation potential, reduce friction, and create a common language between business departments, management, and IT. That is exactly why good process ideas are so valuable! They help to open up new subject areas faster, onboard juniors in a structured manner, and make complex relationships tangible even for new project teams.
CarByte as an Implementation Partner for WebApps and Niche Solutions
For CarByte, the Pocket Consultant is not only an example of a product but also an expression of our core competence: software development with an understanding of processes. We do not just build interfaces; we think through workflows, user roles, decision paths, and technical implementation together. And we use modern AI-enhanced coding tools to support our experience in architecture, backend, frontend, and UX with additional speed.
One challenge is that models, frameworks, and development tools are changing at a high speed. The AI world is fast-moving, and therefore we do not rely on rigid solutions, but on continuous development. For companies, this means that the need for specific WebApps, internal tools, and niche solutions remains. Many processes are too individual for standard software, but too valuable to be mapped manually or with improvised office solutions in the long run.
We like to position ourselves as process designers, lateral thinkers, automators, and software partners. If companies have an idea for a WebApp, want to digitalize internal processes, or need a niche solution that creates real added value, we look forward to an exchange. Our goal is to quickly build reliable prototypes from ideas, integrate feedback early, and develop products from them that work in everyday life.
Conclusion
The use of AI does not automatically make companies more efficient. The actual leverage lies where AI comes together with a good understanding of processes, fast software development, and consistent user orientation.
How a meaningful SaaS tool can emerge from an idea, a bold proof of concept, scientific exploration, and customer-centric product development is shown by our Pocket Consultant. Our tool to make consulting processes faster, more understandable, and more creative.
Takeaways
AI only creates real added value through optimized processes. Technology alone is not enough to achieve sustainable efficiency and productivity gains.
The Pocket Consultant shows the way from the idea to the AI-supported SaaS tool. Through rapid prototyping, user feedback, and process understanding, a practical solution for process optimization is created.
Process knowledge is the foundation of successful digitization. Customized WebApps and AI solutions help companies improve processes, make knowledge usable, and unlock automation potential.
